Free Email vs Business Email: What's the Actual Difference?

3 May 2026

Gmail is free, reliable, and works on every device. So what exactly does a paid business email address give you that Gmail doesn't?

The answer covers three areas: how you look to customers, whether your emails get delivered, and what tools you get alongside your inbox.

How you look to customers

A free email address tells people a few things — sometimes unintentionally. It says you're using a free service rather than investing in your business infrastructure. For a new or small business, this can quietly undermine the trust you're trying to build.

A professional business email address — you@yourbusiness.co.uk — immediately signals that your business is established and serious. It's a small thing that carries more weight than most business owners expect.

Think about it from the customer's perspective: if you were getting two quotes for building work, one from a plumber using john@buildwell.co.uk and one from a plumber using johnplumber84@gmail.com — which one feels more professional?

Whether your emails actually get delivered

This is the one people overlook. Emails sent from free email accounts — especially to other business email addresses — have a higher chance of being caught by spam filters. If you're sending quotes, proposals, follow-ups, or invoices and they're landing in spam folders, you're losing work you don't even know about.

A domain-based email address with proper setup (SPF, DKIM, and DMARC records configured correctly) has significantly better deliverability. Your emails get through.

What tools come alongside your inbox

A free Gmail account gives you email and storage. Microsoft 365 — which we use for our Professional Mailboxes & Email Setup service — gives you:

  • A professional domain email address (you@yourbusiness.co.uk)
  • Microsoft Teams for calls and messaging
  • OneDrive for file storage and sharing
  • Word, Excel, PowerPoint, and the full Office suite
  • 50GB mailbox storage per user
  • Works on all devices — phone, tablet, laptop, desktop

From £8/month per user, that's a significant toolkit compared to a free account.

The cost comparison

Free email: £0/month. But you're investing your credibility every time you send an email.

Microsoft 365 business email: from £8/month per user. One extra job won as a direct result of appearing more professional pays for years of the service.

For most businesses, it's one of the easiest cost-benefit decisions you'll make.

Making the switch

The main reason people put it off is the perceived hassle of switching. With our setup service, that's not a factor — we handle the technical configuration, migrate your existing emails if needed, and get everything running on your devices. You just start using your new address.

Get in touch and we'll have you set up quickly. If you don't have a domain yet, we can sort that as part of your Managed Starter Website or custom web design package.
