How to Choose a Website Maintenance Company

Choosing a website maintenance provider is a decision that matters more than it might seem. Your website is a business asset — it generates enquiries, supports your reputation, and works for you every hour of the day. Whoever maintains it has significant responsibility for keeping that working.

Not all maintenance services are created equal. Some are comprehensive and professionally run. Others do little more than click "update" once a month. Here's how to tell the difference.

What to Look for in a Website Maintenance Provider

Clear, Specific Scope

A good maintenance provider will tell you exactly what is and isn't included in the package. Be wary of vague descriptions like "we'll look after your website" with no specifics. Ask directly:

  • How often are plugin updates applied?
  • How often are backups taken and where are they stored?
  • What security monitoring is in place?
  • What happens if a plugin update breaks my site?
  • Are content updates included? How many per month?

Experience with Your Platform

If your website runs on WordPress, your maintenance provider should have demonstrable experience with WordPress specifically. WordPress has its own ecosystem of plugins, themes, and quirks that require specific knowledge. Ask whether they've handled plugin conflicts, WordPress core updates, and site recoveries from a backup.

Response Times

What happens when something goes wrong? Most maintenance packages aren't 24/7 emergency services — but you should have a clear understanding of how quickly issues will be addressed when they arise. A site that's been offline for 12 hours during business hours is a serious problem.

Check whether the provider offers monitoring (so they know your site is down before you tell them) and what their typical response time to a support request is.

Reporting and Transparency

You should know what's being done with your website. A good maintenance provider sends regular reports covering what was updated, any security events detected, backup status, and performance metrics.

If a provider can't tell you what they did last month, that's a problem — either they didn't do much, or they don't have systems in place to track it.

Reviews and Track Record

Ask whether they can share references from existing clients, or check for reviews online. A maintenance company that's been operating for several years with a track record of looking after small business websites is a different proposition from someone who's just added "maintenance" to a list of services.

Look at their own website. Is it fast, professional, and well-maintained? If a web company's own site is slow or looks neglected, that tells you something.

Local vs Remote

Website maintenance can be delivered remotely — there's no need for anyone to visit your office. That said, there are advantages to working with a local provider who understands your business context and is easy to reach.

A provider who already built your website is often well-placed to maintain it, since they know the build inside out and can address issues quickly without needing to learn the setup from scratch.

Red Flags to Watch Out For

  • No specific mention of security monitoring — Updating plugins without active security monitoring leaves significant gaps
  • No backup policy — Any maintenance service that doesn't include backups is leaving you exposed
  • No testing process for updates — Providers who apply updates without testing will eventually break your site
  • No clear support process — If there's no defined way to report an issue and get it addressed, you'll be chasing someone when your site is down
