Why We Recommend Microsoft 365 for Business Email

When clients ask which email platform to use for their business, we almost always recommend Microsoft 365. That's not a default recommendation — there's a specific reason behind it.

Most people already know the tools

The programmes that come with Microsoft 365 — Word, Excel, Outlook, Teams, OneDrive — are ones most people have been using for years, sometimes decades. There's no learning curve. Your invoices are still in Word. Your spreadsheets are still in Excel. Outlook looks and behaves the way most people expect a professional email client to.

That matters in practice. When you're running a business, you don't want to spend time getting comfortable with a new set of tools. You want to get on with the job.

The ecosystem works together

Microsoft 365 isn't just email — it's a connected platform. Documents saved in OneDrive are accessible across all devices. Teams integrates with your email and calendar. Everything works together without needing to think about it, which is exactly what a small business without a dedicated IT team needs.

Deliverability is consistently solid

Microsoft runs some of the world's largest email infrastructure. Your emails arrive, they don't end up in spam, and they're not flagged by filtering services.

I've had a client who used a cheaper email hosting provider and their emails were being silently blocked by Mailgun. They had no idea until they started chasing replies and realised nobody had received the original messages. That kind of problem simply doesn't happen with Microsoft 365.

What about Google Workspace?

Google Workspace is a good platform. For businesses that already live in the Google ecosystem, it makes complete sense and we wouldn't talk anyone out of it. But for most South Wales small businesses we work with, Microsoft 365 is the more natural fit.
